Many organizations see IT as a superhero from whence help cometh from (help to setup various software that literally drive the company), & without IT nothing can be done. But the truth of the matter is that IT is only human, and there is only so much a human can achieve alone. What happens when an entire company relies solely on IT to get the jobs done? Well, an answer is he may skip a few important things, as he already has so much on his plate.

Now, speaking of IT having “so much on his plate”, one of such is the issue of intranet administration. Organizations believe that this process is more complicated than finding a way out of a maze, and would rather leave such tasks in the trusted hands of IT. It is indeed a very logical way of reasoning, but in reality intranet administration isn’t that difficult, and shouldn’t be IT’s responsibility alone. He needs a sidekick to handle this. Fortunately there are two able helpers – Human Resources and Corporate Communications, and below are 3 basic examples of how intranet administration can be split in your organization:

1) Assign Site Ownership

Assigning site ownership is an effective way of getting things done quickly. For example, the Head of Corporate Communications can be the site owner of the CC site, likewise the Head of Human Resources for the HR site. This will allow him/her to be solely responsible for what happens in his.her department. Whenever a document needs to be added, edited or deleted, a prompt message is sent to him/her for approval or rejection. This way, information is filtered accordingly for departmental relevance.

2) Delegate Application Ownership

Applications power software, software powers communication, and communication is Precurio. We offer a number of features to keep your employees well informed:

  • Company News
  • ‘What’s New’ Feed
  • Blogging
  • Discussion Forums

Application owners are in the best position to post relevant information, rather than IT. This gives certain users ownership rights over various applications, allowing them to share information with the entire company. Typically, delegating an HR executive to handle sensitive information like news and announcements will be more effective.

3) Provide Intranet Design Rights

Precurio gives license to full intranet customization, which allows for a visually pleasing design and intuitive intranet architecture, therefore making it a key component in intranet adoption and engagement.

Again IT needs not worry about this, as he has far more technical tasks to handle. Instead his sidekicks can monitor this, and allow volunteers maintain the intranet design on a regular basis, it will go a long way in making maintaining an intranet much easier. In addition, it ensures all contents on your intranet stay relevant and up-to-date.
